Mission

The Centre Support and Development Department is part of GCSP’s Senior Management and contributes to the overall functioning of the organisation through administrative and operational support.

Under the supervision of the Chief of Staff (CoS), the Junior Business Support and Digitalisation Assistant works closely with colleagues within the department and cooperates with other internal stakeholders, including the Director’s Office, GCSP’s Programmes, and other support services such as Administration, Finance, ICT, and Human Resources.

This permanent position is intended for a junior professional with a Federal Certificate (CFC) in business administration or an equivalent qualification. It offers growth opportunities and the potential to take on increased responsibilities over time. The role combines administrative support with contributions to digital transformation and process improvement, while also providing opportunities to develop technical skills related to the Centre’s internal systems and tools.

Main Activities and Responsibilities

Process Improvement and Digital Transformation
  • Supports efforts to streamline, improve and digitalise internal workflows, business processes and procedures. Ensures respect of legal standards (LPD, GDPR, ISO).
  • Identifies cross-functional and cross-departmental efficiency and optimisation opportunities. Suggests solutions to address organisational-wide processes and procedures needs.
  • Participates in the maintenance and continuous improvement of ISO-aligned processes.

Administrative and Strategic Support
  • Prepares autonomously and under the guidance of the Chief of Staff, KPIs, Management documents, presentations, and reports for internal and external use.
  • Takes minutes during weekly management meetings and bi-annual retreats; ensures their timely distribution and proper archiving.
  • Prepares and coordinates leadership retreats, conferences, and special events, including budget management.
  • Contributes to monitoring compliance with document and knowledge management policies and their proper usage.
  • Provides general administrative support to the CoS and the Centre Support and Development Department.

Systems and Tools – Learning and Support
  • Provides first-level support and acts as back-up for the administration of key internal systems:
  • Salesforce (CRM)
  • Microsoft SharePoint
  • Microsoft Teams
  • Keeps abreast of emerging tools and technologies to ensure continued innovation and relevance.
  • Ensures accurate maintenance and regular updates of key data in internal systems, such as Salesforce.
     
Additional Duties
  • Substitutes for the Director’s Executive assistant during their absence and provides support the Director’s office when necessary, upon prior agreement and well-defined tasks.
  • Ensures communication and coordination with internal and external stakeholders in a professional manner that reflect GCSP’s values. Carries out tasks with sensitivity to gender, diversity, and inclusion.
  • Accomplishes other duties as assigned.

Required Education

  • A BA in Information Science, Federal Certificate of Capacity (CFC) in digital business development, in commercial business administration, or relevant vocational qualifications may be considered in lieu.

Experience

  • Ideally 1–2 years of relevant administrative or business support experience.
  • Experience in an international or multicultural environment is an asset.

Desired Skills

  • Fluency in spoken and written English and French is required.
  • Proficient in Microsoft Office 365 applications (Word, Excel, Teams, Outlook)
  • Strong interest in digital tools and the improvement of administrative processes
  • Willingness and curiosity to learn Salesforce, SharePoint, and MS Teams administration
  • Basic knowledge of GDPR, the Swiss Federal Act on Data Protection, and/or ISO compliance is an asset
  • Strong organisational and communication skills
  • Reliable, discreet, and detail-oriented
  • Proactive and motivated, with the ability to work both independently and collaboratively
  • Interest and understanding of the non-profit sector
